Job Title: Prevention Aide

FLSA Status: Part Time, Non-Exempt

Department: Catholic Charities Community Services of Orange and Sullivan

Reports to: Director of Prevention

Supervisory Responsibilities: No

Summary: As the Prevention Aide, it is imperative to be organized, paying close attention to detail and working at a steady productive pace. The Prevention Aide must be able to work independently. Aide will be responsible to assist the Director and Assistant Director of Prevention in an administrative capacity with office functions as well as reporting compliance and community involvement.

Essential Duties and Responsibilities

1. Coordinate and organize daily schedule for Director of Prevention.

2. Assist the Assistant Director with fiscal responsibilities, i.e. acquisitions for purchases, internal budget tracking, etc.

3. Ensure compliance of internal reporting for department, i.e. monthly activity tracking.

4. Assist with coordinating community/agency trainings and maintenance of all training calendars/records/registrations/certifications for prevention department trainings and activities.

5. Provide support to community coalitions.

  • Create/maintain a filing system and accurate list of books/pamphlets in Prevention library
  • Provide administrative support, i.e. copying, faxing, scanning, typing, etc.
  • Responsible for meeting minutes
  • Responsible for inventory and maintaining office supplies for all Prevention department sites.
  • Prepare and coordinate materials for meetings and special projects

6. Assist in delivery of new prevention initiatives and youth programming.

7. Provides evidence-based programming to youth in community settings.

8. Assist Prevention department with planning and implementation of community events and trainings.

9. Create/maintain records of contacts in community with regular email communication.

10. Assist in the development of youth/community outreach projects, including creation and preparation of outreach materials such as flyers/forms and social media.

11. Maintain a calendar of outreach and community events.

12. Other duties and responsibilities by Prevention Director.

Position Type and Expected Hours of Work:

This is a part-time position. Additional hours may be required to meet program deadlines.

Working conditions and physical demands required:

The demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Use of a computer at least 60% of the time.
  • Operate computer, telephone and other office productivity equipment, such as photocopier, scanner, laminator, shredder, and printer.
  • Ability to lift at least 20 pounds.
  • Sitting, standing, walking, talking, bending, lifting, and stooping are required.
  • Climbing stairs.
  • Enter and exit buildings to outdoors on a constant basis to gain entry to other buildings and to public.
  • Local travel required.

Education and/or experience required:

Applicant must have:

  • A minimum of two years office administration experience with MS Office expertise.
  • GED/High School Diploma required. Associates Degree in related field preferred.

Skills, Licenses, and/or competencies required:

  • Ability to work with a wide range of people, including youth, parents, community leaders, and faith-based organizations.
  • Excellent oral and written skills to effectively communicate with all levels of staff, outside agencies and community.
  • Knowledge of Microsoft Word.
  • Ability to type minimum of 55 WPM
  • Bilingual a plus.
